Richmond Library Trustee Meeting Minutes

Attendees: Nanci McConnell, Katherine Keenum, Candy Mountain, Kristin Smith, Kathryn Wilson

Approval of minutes from June 10, 2021 – approved

Correspondence: we received $7,007.77 from Grant from the Elizabeth Sayman Fund to the Library Gift Account.  The town of Richmond requires each Trustee to read and sign an anti-harassment policy.

Reopening update: The library is open with “pre-pandemic” hours!  We are open for walk-ins, browsing, computer use and for a quiet place with Wifi to work.  In general, the bathroom is not available to the public, although we have made exceptions for people who were attending the Owl program or small children.  Make and Take craft program kits have been a huge hit.

End of year purchases: The big purchase was, and thanks to Candy and Andrea, it is available remotely.  The library is spreading the word with fliers and on the website.  Also purchased: tables, NYT book review, and some of the items for the Library of Things (metal detector, bocce set, etc.)

Museum passes for summer use: we have 2 more: The Bidwell House and the Frelinghuysen Morris House & Studio (which we have had at times in the past). 

Summer Reading Program: we have 15 children signed up for the Summer Reading Program and we had about 70 people attend the World of Owls program.

MBC (now called Phase 2 Building Committee) report: trustees reviewed floorplan for library using input notes from MBLC.  The recommendations will be written up and sent by email to Curtis Edgin and to Trustees and Kristin and Candy.  The recommendations that we have made do not change the “footprint” of the library space.

New Building fundraising update: there are 11 unfilled “promises” totaling $56,600.  Those are expected to come in by Oct 1st (letters and emailed requesting payments by this date were sent out in June).  The total in Berkshire Bank (2 accounts) is $226,233.15

Friends Report: Annual meeting was held on June 12, 2021.  There are currently 84 members.  The membership year is from July 1 – end of June.

Approval of minutes of May 13, 2021 meeting: Approved

Reopening update:

  • Starting July 1st, we will go back to regular hours and services, except no bathroom use by patrons and limited children’s area (one family at a time)
  • Following Board of Health guidelines, masks will still be “strongly recommended”, gloves will be available for staff (optional use), automatic quarantine of books before they go onto the shelf

Summer reading program: 30 people signed up for the (Wing Masters) World of Owls program for July 10th at 11:00 am. Board of Health okayed outside program and said it would be okay to move it inside if raining

South Berkshire Kids: donated materials for Take and Make craft packets for summer use.  Kristin’s 2 young volunteers will assemble the packets.  There will be 24 kits available each week for 5-6 weeks (different craft each week – puppets, paint sticks, fish, masks, cup animals).  South Berkshire Kids also are donating “baby bags” with board books and info for new parents)

MBC update: the committee will continue on as an advisory group to the Design Team and Project Manager. 

Kristin attended an MBLC webinar on fundraising.  New ideas from that: $25 for a letter from Santa, drive up bag sale of “mystery book bag” (surprise bag of donated books), trivia night, “Bling for Books” (donated jewelry sale)


MBLC is giving us 5 wifi “hot spots” to try out to loan to patrons.


The library will be closed (state holiday) for Juneteenth (June 19th) and will be open on July 3rd.


We need a new Strategic Plan for MBLC – we will need volunteers to participate on a committee to help with a Patron Survey (winter 2022) and write a new plan (spring 2022), especially to be ready for the new building.


Katherine reports that a Richmond resident is circulating a “petition” requesting the library include senior activities besides exercise classes.  Current library senior activities include Book Club, Film Club.  New activities could include Craft Groups and more.


Local Authors discussion: who should we buy books from or invite to speak at library?  All books should be previewed, should have historical or local value. Friends group can purchase the book(s). Authors who want to speak will be referred to Ruth Bass for her Lively World program


End of year purchases (we still have some library funds because of staffing reduced hours during Covid):

2 tables, book covers, extra copiers ink, book tape, items for Library of Things, other


Fundraising update -- the current status of fundraising for building fund is:

CD $98,653 (includes deposits from previous years’ fundraising)                
Savings $73,551 (includes new deposits)


Friends of the Library Annual meeting will be held on Saturday, June 12th at 11:00 am at the library.
